Terms & Conditions: Original Artwork Commissions

Hi and welcome to my website! Below you will find the policies for my commissions.
Reference Photos When choosing a photo look for one that is a clear and sharp image with good lighting (not too highlighted and not too dark in exposure). Natural lighting is always best. For pet portraits: if you can take a picture of your pet outside or near a window with direct sunlight this is preferred. I cannot accept low quality photos that are pixelated or blurry. A good quality photo will ensure a more detailed and accurate portrait. And, you are always welcome to send several of your favorite photos.
Copyrights & Other Courtesies I reserve the copyrights to my paintings to use the images as needed in my portfolio, shop, and advertising and do not permit the reproduction of my paintings. If you would like exclusive rights to your portrait (where I cannot reproduce the work to use in my shop) or you would like the rights to reproduce your new artwork there is a 30% fee. I can provide you with a high-quality digital file for reproduction. I always keep a digital copy of every portrait I paint. If you would like a copy of your portrait I am able to make prints. Please reach out to me via email with your information if this is the case. You are always welcome to take pictures of your portrait to share with your friends/family and post on social media. Please make sure to tag me (@sarahroethleart) as I would love to see your pictures.
Lastly, I ask that you are patient and give me creative space. I try my best to have your portraits complete within 3-4 weeks (sometimes earlier, depending on the amount of portraits in line), but I am also a stay-at-home-mother of two and have quite a busy schedule. If your portrait is time sensitive (birthday or other) I will do my best to accommodate you.
As your portraits progress I will post pictures to my Instagram stories (@sarahroethleart), so please follow me for updates.
As a final note, please allow me my artistic autonomy. I love hearing your initial ideas and painting requests, however it can be frustrating and stall my creativity to be constantly bombarded by "edits" or updates. Please trust that I will create something special for you.
Shipping & Packaging
Commissions generally ship within 3-4 weeks.
All orders ship flat, and are packaged in acid-free, protective cello sleeves, cardboard backing and sturdy rigid mailers. There is no additional shipping charge for purchasing more than one item.
If your item is a gift let me know at checkout and I’ll be happy to include a complimentary hand-written note.
Portraits are created and packaged using acid-free materials. As with all artwork, direct sunlight should be avoided to protect the work from fading. All portraits are finished and sealed with a light layer of wax medium which preserves and protects the watercolor paint from fading over time. Some residue may transfer to the cello sleeve while shipping. When handling the work, try to hold it by the edges of paper to minimize any transfer of oil from your fingers. If using tape to mount to a mat, use of an acid-free artist's tape is recommended.
Unfortunately I am not able to offer refunds or exchanges (no money back, however if you ever experience mail loss (loss or damage during shipping) I will work with you to remedy the situation.
If you need to cancel a custom portrait and I have yet to start it, there will be a minimum cancellation fee of 25% of the total portrait. Thank you for your understanding. If you have any questions you are always welcome to email me. Thank you!
